How times have changed in the world of scheduling diaries in Social Housing, for trade repairs and other resident visits.

There was a time when scheduling was the proverbial Marmite, with most housing professionals I worked with, either with the binary choice of ICT/application scheduling as ‘essential’ or ‘not essential as good staff are the key’. In the former case the options were pretty much ‘Optitime’ or nothing really, to automate and aid the efficient scheduling of work to be issued.

Funnily enough, I find you can pretty much ‘carbon date’ repairs people talking about scheduling in the Socialhousing sector, by if they call that product Xmbrace, Optitime, DRS (Dynamic Resource Scheduling), Kirona or OneAdvanced. Also, those guys memories, war stories and battle scars of a migration from version 4 to version 5 of that on-premise delivered product.

However, getting on to nearly two decades of diary scheduling in housing, we are in a very different landscape, one being more dominated by Cloud computing, higher expectations of APIs/integration and native browser delivered solutions as default.

We now have a wide variety and in some ways bewildering array of options open to us, particularly if we are interested in scheduling multiple teams, not just contractor repairs, maybe compliance, arrears and asset management & surveys.

If course a lot of software providers had a go at writing a scheduler (why how hard can it be?), crashing and burning or only having a single user etc. ProScheduler or was it PromasterScheduler is one that springs to mind, that I came across. I think I was always being told that someone new was always ready to sign up to it. Something that does not make sense in practice and clearly would have brought with it risks of little new investment or ideas going into it.

In the move (or rush for some software suppliers) to redevelop/modernise the integrated HMS for the Cloud, many are adding their own integral ‘scheduler’. These can have varying degrees of being ‘dynamic’, at times a difficult noun to define. At the bare minimum these can be ‘drag & drop’ diaries that feed mobile appointments, right up to some aspect of being able to reshuffle tasks (jobs, visits etc if you like). Many contractor solutions these days include their own scheduler option, sometimes after many years of integrating to the old DRS default. Examples include Totalmobile TM with their Optimise option. I think it would be prudent for suppliers to consider retaining the opportunity for clients, to go for the in-house as well as any preferred available external option.

In some recent procurements, I have worked with clients already with seats on schedulers, such as DRS and preferring to move to a new solution taking those forward. After all, they were currently just paying annual maintenance for those diary seats and this can be more economic/convenient than swapping out.

Contractor solutions used primarily outside housing, also often come with their own scheduling facilities. One example is BigChange, that provides bulk-scheduling options as well as the expected mobile integrations.

‘Plug-In’ scheduler options have been available for some time, such as Click (now part of Salesforce Field Service) and the new written for Cloud ‘More IQ’ solution. The latter is backed and designed by a number of original DRS development staff, including Gael Sianson a chap very recognisable from Optitime events. I remember an interesting evening exploring a hotel Calvados menu with him and his colleagues, many years back before the full move to Kirona.

I notice too that FLS (Fast Lean Smart) appears to be gaining some traction in Social Housing recently too. Good modern API’s are essential for these standalone options, particularly where an integration into Cloud/Browser applications or D365 (Microsoft Dynamics 365) are being considered.

The list above is not intended to be absolutely comprehensive, so apologies if I have inadvertently missed any products.

So, what should be considered when looking at the available options?

  • Carefully consider (3 or 5 year) cost of ownership , including integrations, per seat and annual maintenance pricing. What are the costs of adding additional diary seats. Are these cheaper, the more you add?
  • If an existing solution is already in use, is it economic to swap out? How well does that existing solution function, supporting the Customer Journey?
  • Speed – For your mix of diaries (repairs, arrears, estate management etc), how fast can appointments be assigned? Will customer service agents have a resident on waiting for 3 seconds or 30? Is it this fast with ten diaries when demonstrated, or the 350 diaries in your actual real world staff team? 
  • Will your scheduler work with self-service quickly and and any repairs diagnostic tool in place?
  • How many matching metrics are needed? Areas, towns, locations, sub-locations, trade primary/secondary skills, ability/experience, multi-trade, paired visits etc?
  • Are you looking for an on-premise or more future-proof native in the Cloud solution?
  • Is there a preference to reduce software suppliers to a consolidated (trusted) solution or a mix of best of breed, with multiple suppliers and application sources/technologies?
  • Is your scheduler choice already integrated (& proven) to your application software, or is a new interface needed? A rich set of available and well documented APIs can speed up the latter.
  • Technology - If the scheduler is cloud based, can it support 1,000 diaries as easily as a 100 and scale up/down quickly if required?
  • How much dynamic scheduling is really needed?
  • How well would aspects such as road conditions and other minute by minute optimisations be taken into account?
  • How easy should bulk automatic moving of diary appointments be possible. E.G. from three staff members that have just phoned in sick, having gone down with the Covid19 ?
  • Also, will features such as 'doorstep' follow-on/up appointments be capable by trade operatives/other staff? IE staff on the scheme as well as office based agents can also flexibly re-appoint. Cloud based scheduling might be a certain advantage there.

At some point it would be interesting to put a blogpost together on some real-world scheduler experiences, or in fact examine one of the newer offerings in more detail if that were practical. Stay tuned if we can do that a bit later in the year.

After Solvares buys More-IQ, then merges with Totalmobile. UK housing DLO & contractor repair systems just got a lot more interesting. Two announcements in four days and neither is small.

Following on from consolidating FLS (Fast Lean Smart) recently, Solvares Group has acquired UK-based More-IQ, a true Cloud dynamic scheduling specialist that has been aiming straight at social housing landlords. Good on Nick, Katie and Gael on that one. 😉

Then Solvares and Totalmobile announced yet another merger, creating a combined group of 800+ people supporting 4,000+ customers, with housing explicitly called out as a key sector. This matters because scheduling these days is not a nice-to-have. In housing repairs, it is the control room. If the scheduler is average, everything downstream looks average too: customer comms, compliance visits, voids sequencing, multi-trade, right-first-time, and the “why did nobody turn up?” calls.

What does this mean in simple terms, a view from a seasoned sector Critical Friend ?

Solvares is stitching together optimisation and scheduling brains with a mainstream field service execution platform. More-IQ strengthens the cloud-native scheduling side, and Solvares explicitly positions it in their comms as boosting its offering for the housing sector and accelerating cloud-native innovation.

The Totalmobile merger statement is basically “planning through to execution”, at scale, with no immediate change promised to existing customers. Well, they all say that don’t they?

These platforms are winning some significant housing deals and often banging on about those wins. How some of those pan out to satisfactory go-lives might be somewhat shankier. I mean I see some of these in my projects.

Community Housing recently has selected Totalmobile’s platform to support repairs for 6,000+ homes, with 70 operatives, aiming for March 2026 go-live and projecting £750k+ net savings over five years. Hyde Housing has a published repairs contract with Totalmobile extending field-service and scheduling capability across wider operations. Wandle Housing Association awarded Totalmobile Connect, Mobilise and Analytics via G-Cloud. Raven Housing Trust and Vivid Homes are great More-IQ examples.

So what should DLO repairs managers and housing organisations do next? Maybe don’t panic. But also not sleepwalk into a new foreign-owned group making quiet changes while you are busy fighting damp, mould and backlog. After all, there are some great alternative indie choices out there too, such as ROCC who quietly seem to be just getting on with doing a good job with everything ‘in the SAAS box’. 

Here is what I would get nailed down now, in writing, (with dates OBVs) :

Roadmap certainty: what gets invested in, what gets merged, and what gets nudged toward end-of-life over the next 24 months. The press line is “no immediate changes”, but “immediate” is doing a lot of heavy lifting  there (like every merger or acquisition).

Commercial protection: what happens to pricing at renewal when products get “simplified” into bundles, or the additional contract clauses bubble up.

UK housing priority: ask how UK housing feature needs, support coverage, and escalation routes are protected when priorities get set outside the UK. Lets hope all decisions need not go via Heikendorf, DE in the future, that would not be clever for customers across the British Isles, RP's & AHB's.

Integration commitments: if your HMS, CRM, comms, compliance, BI Reporting, or contractor ecosystem hangs off scheduling, insist on a clear integration support plan. In a merger, interfaces are where surprises breed, particularly if some products could be depreciated, or swapped with other alternatives.

And what about OneAdvanced DRS, you know OptiTime as was? (Showing my age now)

This is the bit that should make OneAdvanced customers and prospects sit up straighter. OneAdvanced markets Dynamic Resource Scheduler as a core product for field workforce optimisation and it is also being sold on G-Cloud frameworks as Resource Scheduling (formerly DRS).

But the competitive pressure is more real than ever, because Solvares has just bought a supplier that is positioning itself as cloud-native dynamic scheduling software with a housing-first focus, and it is now (most likely) being paired with Totalmobile’s execution platform.

So the likely impact on DRS is not “DRS is dead” (not quite yet anyway). It is more like this: procurements get harder, buyers will ask more awkward questions about what “cloud” really means, and incumbents will be pushed to modernise faster because the Solvares-Totalmobile combo can pitch an end-to-end story with a cloud-native scheduling engine at its centre. Again, this is not an only option, look and think out of the box, you don’t always have to be with the big boys. Often small and perfectly formed is an advantage.

If you are a DRS landlord/user, you probably do not need to rip out and replace. But you should use this moment to extract roadmap clarity and commitments, because serious competition has just arrived with a variant of 100% true Cloud scheduling and (potentially) a much bigger chequebook behind it.

My Take is this could genuinely help providers, if it leads to better scheduling that matches the reality of housing, then actually executes cleanly in the field. However, consolidation is never a charity project. It is a control project. The winners will be the landlords who treat this like any other high-impact supplier change: tighten governance, pin down roadmap and commercials, and keep hold of their operational data and integrations so they stay in the driving seat. Hopefully the consolidated helpdesk will not give you too many sleepless nights.

How Do Ya Fix a Broken Part

There’s more than one way for customer services to take a repair request call, from a resident. I have guess I have seen most of them and recommended a few on occasion, to my CRM or DLO internal repairs system clients.

One aspect that often divides opinion, is do we need a generalist approach or a dedicated repairs reception. The latter works great where we have experienced repairs people, occasionally some of them have at some time, ‘been on the tools’. Think B&Q. Find a 55+ year old in aisle 16 and you will (potentially) walk away with the replacement security bolt (and fittings) of a lifetime. I think I did once!

The point is that we need to capture good quality data, ask the right questions and be consistent.

For the former, the logical historic go-to, was a graphical repairs diagnostic tool. You know the ones. Repairfinder, Keyfax, Locator, ActiveHousing, FixFlow etc. The last few of these are now pitched via browser & cloud these days, adding extra flexibility. The last in the list (FixFlow) was snapped up by European and UK Social Housing solution specialist ‘Aareon AG’ last month. "Fixflo customers will benefit from a significant increase in Fixflo’s research and development budget as its solutions form part of the roadmap for the wider Aareon group".

This is Aareon's second SaaS solution acquisition, just 6 months after private property manager Arthur Online. Is the new way to grow a successful housing software group, to buy in all the SaaS solutions, pre-built, rather than a software giant convert or build them themselves? [Discuss]. 


Its an interesting acquisition, however not an unexpected one, as Aareon QLF/QLX is migrating to Cloud and browser. A SaaS based graphical repairs diagnosis tool makes sense, however if you were a customer already with one of the other tools, does that mean a potential costly re-purchase or options for squeezing more life out of the existing kit could be available? Interesting times ahead maybe for those RSLs and Councils. ‘Everything in the Cloud’ is very seductive. 

I would be surprised if some of the initiators of these Cloud based additions, don't in the long term yield senior staff for the acquiring companies, as they attempt to progress from Client-Server to all in the Cloud/available anywhere. Keep an eye on Rajeev Nayyar, he might well pop up in Aareon's senior management at some point, if he gets on well with the Germans (or partial VC owners).

In a wider sense though, web-based and SaaS repairs diagnosis tools make sense. These could be priced based volume, i.e. on each diagnosis – pay as you go. Perhaps fairer for smaller RSLs and charities, as not big ticket initial capital outlay. Similar to the way some repair scheduling solutions can sometimes be charged for self-service.

Another big bonus of web/Cloud based repair diagnosis tools is they can be used in multiple settings. EG For customer services receiving repair requests, self-service in the resident portal, plus availability for use by repair operatives, creating follow-on/follow-up jobs. The mysterious ‘Doorstep Appointment’, that I have seen on supplier roadmaps for many years and occasionally in the wild.

A single tool that can be used, if desired, for up to three different settings, would be really useful. It would be great to see if that option emerges, from this Aareon acquisition, or from other players.

Model (DLO) Workers

What a housing world we might have if it were filled with model workers? Perhaps a utopia for managers and residents/customers alike, particularly where repairs are involved.

We have gone through a transition where local authority housing departments have been RSVT’d to Housing Associations and many DLO’s, internal contractors, contract services dealing with housing maintenance have been discarded. Some which have retained their DLO could now be patting themselves on the back, saving 20% in VAT on most repairs. Many that have been through that process (or some that never did), have now got that back on the table for consideration and why not? Maybe even one day networks of peer RSL's could benefit from the VAT benefits, where facilities can be shared.

Technology is now available to come to the aid of the humble internal contractor. This helps to tackle areas that formed the often unfair stereotype of ‘Direct Works’. That image of a van of council workers eating breakfast toast on the corner of the estate, not appearing to be very productive. Many years ago I was on the receiving end of a plumbing foreigner from a ‘DLO’ operative. It took four attempts and given the choice, for many reasons, I would not choose to go down that road again!

IT and system assistance, to help them run on a commercial footing comes in a number of forms. The major ones are:

  • Dedicated contractor modules (with varying degrees of integration to any main HMS or asset management system/module)
  • Diagnosis and scripting tools (to determine SORs generally)
  • Stock links to building supplier / impressed stock support
  • Workforce scheduling
  • Mobile working and location tracking

Of course, running your own internal contractor involves the management and operational overhead of these system costs. This needs to be carefully factored in to any estimates of costs, when setting up. One other benefit is often involvement of local residents in the enterprise, for example through trade and apprenticeship schemes. Very important in my opinion and something that to me seems to have only recently trickled down from the more savvy national contractors, such as Morrisons and the like. Possibly we are only just starting to hear about it.

There are a number of areas to be aware of when looking at the application of IT to an internal workforce. Suitability of the contractors module is one key area. In my opinion, probably twelve operatives or greater, makes use of a module worth considering. Ensure it is fit for purpose. Particularly look at how it handles multi-day and multi-visit jobs, particularly voids and planned work. Strange as it may seem, some solutions out there appear to struggle with these very common housing requirements.

In addition to servicing your own stock, if you have an efficient workforce, have you ambitions to do work for other RSL’s, homeowners or other organisations (eg NHS trusts) in your locality? If so, ensure your chosen solution can handle flexible costing, billing, reporting etc matching your prospective external customer requirements. To bolt this on later might be costly or impossible later, even in a system that works well just for your own housing stock. The main independent solutions in no particular order are Task Total from Consilium, Servitor from Civica, OpenContractor (ex-IBS) from Capita and Uniclass from ROCC.

Good proven (ask to see it) integration between systems will reduce admin costs and can then be expected to provide a unified view of property condition to asset teams and housing staff on the ground. This can also be used to make some diagnosis software work better too, obviously ask what capabilities are. Do not assume that scripting and diagnosis software can interrogate current repair or asset state of the property, see this in practice to your satisfaction.

The other hot potato these days is ‘Scheduling’. This requires some looking outside the jacket. I have met many DLO managers, mainly large stocky chaps, who generally for me have fallen into two distinct camps; lovers of it and haters of it. The former have used it before and seen or perceived benefits. They are generally evangelists in terms of getting scheduling into the internal workforce, to drive efficiency. Few would dispute that scheduling software can reduce travel time and increase efficiencies.

While it is quite true that most scheduling systems can be easily installed in six to eight weeks, integrating and configuring them properly to your environment takes much, much longer. In some cases I have heard stories of between 18-24 months to tune for best efficiency. When depot managers join an organisation and champion scheduling as a silver bullet, they can have short memories of the final benefits, rather than the long period of growing pains to get scheduling embedded and accepted by the workforce. So it is vital to be realistic, your organisation will not be receiving maximum ROI from a basic shell of a scheduler.

The final elephant in the room is also culture. How closely tied or insulated the internal contractor team is from the main housing functions and how well developed processes are within it, will often determine if IT improvements will bring maximum benefits. I would suggest that thorough mapping and analysis of current (paper/manual) procedures, precedes IT selection and implementation.

Importantly, these days, it is a buyers market and most suppliers have woken up to that. Ensure you negotiate the best contract with your preferred supplier, keeping re-occurring costs as low as practical, reducing internal contractor overheads, still further.

In Disrepair

We all remember the PPI miss-selling scandal. The seemingly often daily calls, “You can cash in big – press 'One' now to start your claim…”.


It was irritating and good to see over eighteen months ago for it to finally end and we could return to mobile phone, 'have you had an accident that wasn't your fault' and parcel scams. PPI claims were mostly driven by ‘boiler room operations’ that relied on just a few folk taking up their chances, while irritating everyone else. There is good and bad news to the end of PPI and that the callers are still gainfully employed, except now many of them have moved into Social Housing Disrepair Claims instead. 

While as regularly revealed by the excellent Kwajo Tweneboa, there are some terrible repair horror stories out there, not all are down to lack of effort on some landlords.

Unfortunately, this is looking more and more like a happy hunting ground and there is plenty of scope for cashing in and potential big costs for landlords. Of course there would be less profit in this, if repairs were managed better, particularly using many of the technology & ICT means available, I often write about in this blog.

I am talking about well managed internal contractor/DLO teams, better diagnosis and scripting of repairs up front, better (automated & personal) communication, convenient repairs scheduling, mobile control of repairs and satisfaction follow-ups to catch snagging. Nothing here I would regard blue-sky, but how many council housing and socialhousing teams are properly taking advantage of all of this? If they are, how are they managing with self-service good enough to allow residents to be aware of when repair visits are due and help to manage amendments & cancellations?

Getting this right with integrated system solutions would probably eradicate 65% of issues. The remainder is perhaps down to maintaining a high quality of contractor trade work, so ITV TV don’t send a film crew down to one of more of your schemes to see the state of damp or dangerous properties. I would certainly read about less problems direct on my Twitter feed from residents across the UK and wouldn’t be sharing as much practical advice either.

However, whether a repair has been ignored for too long, bodged or just had six or more multiple visits that neither has actually closed it out, are all ripe for the ‘Disrepair Claims Ambulance Chasers’. Sadly so are repairs that perhaps have been closed out well, however with variable communication throughout. All can be caught up in the mix as the boiler rooms target lots of socialhousing residents and more & more turn into complaints and disrepair claims.

If you are not on top of it, others will be...

Over the last two years I have encountered more and more system requirements in procurements around disrepair claims. These involve accounting for an insurance amount for repairs, better case management and CRM tracking progressing to court cases.

In addition, one area often glossed over, the recovery of data (often in other systems) to formulate and manage an evidential timeline for the particular repair being challenged. In a recent project I am involved with, we are carefully examining where granular trade repairs visit data can be added to more ‘header’ type information, to support Disrepair Claims, going forward in a new better integrated data solution. Some legal & GDPR guidance is being fed into how data can be best retained and managed.

Social landlords failing to be able to evidence issues (or non-issues), can expect to be taken to the cleaners by the ambulance chases and in some cases, residents with better data on the repairs issues than them. Also, lets not lose sight of all this data being a means of reducing future issues and driving improvement/transformation. Getting the job done right first time, is good for resident and landlord. Its also more cost effective, something essential and more crucial as inflation starts to nudge up to 1970’s levels, which will almost certainly cause future tightening of repair budgets.

Ignore the Disrepair Ambulance Chasers at your peril.
