Wow, what a time to be alive eh?

I’ve sat through six software demos in the last few weeks, yes broadly stayed awake and guess what? All (but one, I wont say which!) was now ‘powered by AI’. Yes – course they were, until you asked for a real world example in front of you, then the dream slightly soured. Everyone has got some irritating AI these days, Salesforce has ‘Agentforce’ for instance, an iconic team DC Comics clearly left on the cutting room floor at 1325 Avenue of the Americas, many moons ago.

Predictably, everyone’s ubiquitous predictive analytics supplier in the sector, is also pitching a repair issues detector with advanced AI & machine learning technology. Beware though the quality of your data, be sure to improve that before pointing any AI engine at it. Also, keep an eye on where any AI’s have been trained, has GDPR been fully respected?

Jeez, I’m no luddite, even my last year of blog posts are now routinely discussed by a couple of AI’s, you might have noticed. If you haven’t, give it a try. I promise you, 11 to 18 minutes of your life you wont ever get back. However, you cannot say I didn’t warn you.

Its been fun to see those AI tech bros recently wetting their panties about DeepSeek the new bargain basement AI heroes showing its workings, dropping in from China, knocking $b’s off share values and worrying Nvidia, Oracle, Broadcom and other holders of financial stock.

Having said that I have less to laugh about when using my own M365 subscription, that seems to have acquired 2025’s reincarnation of Clippy, the ever present ‘Draft (or is it daft?) with CoPilot?’ prompt. Clippy at least could try to make you laugh, ‘I think you are writing a resignation letter, do you need any help?’. This one is of limited use and 40% of the time seems to respond to me as ‘Sorry, I cannot help you with that at the moment’. I'm sure Clippy was designed based on Red Dwarf's Talkie Toaster.

CoPilot has had its issues, offensive & sexualised  images, also training itself on your data without your permission riding roughshod over your and your organisations cybersecurity. The latest version is also worse than its previous incarnation. Perhaps I am being kind comparing it to Clippy, it’s more like Cortana or Bing. That’s before you get into the SSRF flaw.

I am not alone either, as more than a few clients are getting hacked off paying an extra 30 pound/euro a month for the privilege and actively looking to put a stop to it. Stealthily, Microsoft have slipped CoPilot into some annual plans already, with a cost coming down the line the next time you renew. Also, the previously bundled useful VPN will soon be dropped.

As of last month, Jan25, Microsoft 365 Family or Personal customers will automatically get Copilot in their Microsoft productivity apps, if you want it or not. So, with Copilot is now the default package.

In fact what you had before is now renamed as ‘Classic’ and if you have had enough of Clippy (er Copilot) for the moment, you might want to read this article. This for the moment will also save you a price increase at your next renewal.

Personally Microsoft I would prefer to be paying for an AI that was properly, not half-baked. So, I might just sit this one out for a bit.

On a more positive note, some aspects of AI enabled features I am finding more useful. Transcribing recordings in Teams, seeing services to auto-redact or pre-sort CV’s in our HR systems, auto-keywording photographic images, yes all good for doing substantial legwork with an experienced human final signing off. Replacing the human totally, well maybe not yet.

Light Specific Data

I remember many years ago reading VS Naipaul’s “A house for Mr Biswas”. It’s a recognised classic, a tale of a Hindu Indian with a small disability, trying to fit in the community of rural Trinidad and Tobago. I recommend it, a brilliant and insightful book, that was acclaimed world-wide.

Early in the novel, Mr Biswas sets out to acquire a home library to appear well-read and intelligent. To do so, he orders x feet of book. He doesn’t particularly care what the books are, but he builds a library for himself.

The character collects books like many organisations collect data.  

I have met many people in organisations, who are more focussed at time on the quantity of data we have, rather than the quality of it. Often its very burdensome to look too deeply into our data. Its expensive and often irritating to have to fix it. No wonder many obsess about the abstract concept of big data, most of us have not actually cracked small data yet.

I have met many ICT and data professionals, who have tried to make improving data quality their aim. Personally I have been there myself, creating exception reports and generating automated prompts, in order to flag up issues to staff before they become much bigger data problems. They like me I think were all universally hated, and referred to at times, to be the data police! It’s a moniker I can live with, and deep down I know good quality data, leads to better decisions.

How often do you and your organisation question your data quality? Only on one occasion in my career, have I seen an organisation underline the importance of data to staff on a full day of presentations. Everyone should try it.

How often in particular, are staff involved in :-

• Inaccurate data
• Incomplete data. If data is incomplete, organisations may make decisions based on a false understanding of the situation.
• Outdated data: If data is not kept up-to-date, organisations may make decisions based on out of date information. This can lead to missed opportunities or a failure to identify new trends
• Lack of data standardization: Poor data quality can also be caused by a lack of data standardization, which makes it difficult to compare and combine data from different sources. This can lead to confusion and mistakes in decision making.
• Inconsistency in data: Inconsistency in data can lead to difficultly in tracking progress and identifying areas for improvement, which can lead to poor decision making.

Lets think now about the last time you spotted a data anomaly.

I have discovered many when migrating data from one system to another. Often systems are patched historically and data left incorrect in-situ. Data migrations do tend to flush a lot of this out. One example I saw around this involved car-port assets that were thought deleted seven years back. We had to reinstate them as historic data referred and related to them. Watch out for this yourself.

Another lovely data story I remember was from a West Midlands socialhousing landlord. I cannot actually remember what I was on-site doing, but I was asked if I could do my client a favour. I try to be a helpful bloke, so yes, I would always try my best to help, even if it caused me to miss my lunch!

What they were looking to do is mailshot/SMS txt all their live tenants over the age of 65. Quite an easy query in most integrated housing systems, (if you can avoid any Mr Void’s in one particular one, I am not so rude to highlight – but you guys know who you are!). My SQL query was soon done and its results dropped into Excel. (Not a database itself, before you ask!).

Now many people would have surely stopped there, passed the list and maybe the query on and cracked on with my lunch BLT. Being me I just thought I would check the sensibility of what was being pulled out, based on Dates of Birth. It was then that I wondered if I had made a serious scientific discovery, or was just looking at some dodgy data. I discovered that over a hundred of their tenants were over 1,000 years old. Digging further, they all lived in a place called Tipton.

I had never been to Tipton at that point, and wondered if it might be one of those types of communities you read about in Japanese islands or Southern Greece, for extraordinary life expectancy. Since then I have visited Mad O'Rourke's Pie Factory, in Hurst Ln (on my birthday actually, a few years back and it was bostin, although thankfully not the 4lb Desperate Dan Cow pie), so I was in no doubt that life expectancy, could well be nearer the west Midlands average in Tipton town.

The sad truth was that the DOBs were habitually entered incorrectly in the RSLs old Tipton Office, and never challenged or corrected. So I had to cancel David Attenborough and the film crew, it was just sh*t data, that could be easily corrected by a temp.

Its not just old people with poor data that we need to concern ourselves with, the young-uns can be problematic too. At another big West Midlands RSL, I looked into a problem with residents being button-holed by DLO staff to provide satisfaction feedback, but it was often residents still of school age. A great story for the Wolverhampton based Express & Star, although on investigation a lot of resident data was being incorrectly recorded, including tenant ages (defaulting to 0, as DOB could be entered as today) and the wrong household member being flagged as the ‘main’ resident.

Once pinned down to a couple of housing staff requiring some training, plus a regular report to flag them to fix them all, the problem was no more. In this last case, the problem was causing the DLO issues, and had a source right back when the tenancy was set up. Be aware of this type of thing. Often one dept needs to ‘take one’, for the wider team, which isn’t always an easy sell.

Anyway, the thought I would like to leave you with, is that we all need to really doubt all our data, all the time. Take ownership of it and how it should be fixed. Then keep fixing it!

At some point, being aware of the above and putting this into practice, your data will take you and your tenants to a better future.

Its not that frequent that I get involved in data reconciliation’s, but strangely I have helped a few organisations with them in recent weeks. How do you go about checking that what you take from a legacy system, is what lands in your new system? Its even more complex when several legacy systems are coming into a single new system.

So, what should we be looking at?

Well hopefully, data will be extracted into either a staging database or intermediate CSV’s (Comma separated Value flat text files). As anyone will know who has been through this process, its usually something that is carried out by the client, rather than the supplier of the new system. Because of this, its generally not that difficult to generate some statistics at that stage.

When I was a key implementer, I used to have a big list of areas which would be on my main hit list, many of which should be able to be reconciled right to the penny. Examples include rent balances, debit charge, cost of open works orders etc. While grand totals are a great guide, its likely that differences need to be split by Owning Body, Area, Scheme, Trade Type, Needs Category, debit frequency, Current vs Former etc, to meaningfully be sure of the integrity of data.

For my peace of mind too, I always urge my clients to find good legacy reports, to reconcile extracted (staging) data, then data when it lands in the new target system. If these can be passed to Excel, some templates can be developed, to quickly check these. In some cases, I have helped clients create something that can be quickly compared within 15 minutes. This is crucial at migration time and also to have all this ready and pre-cooked.

In an ideal world, regular data cuts could be done, with checks in place, way ahead of the final go-live. All differences need to be chased down quickly, so final go-live will be reliable. Data migrated might include EDRMS documents, appointments from a dynamic scheduler, or other sources.

Its usually common cross-referencing between systems will be in use, to allow data migration. These should be considered and understood to provide a reliable reconciliation. In particular, spot checks of every combination, for individual type of code. E.G. every type of charge code, asset type code etc. Config of these cross-references , during set up needs to be carefully controlled, as does changes in the data extraction that might be done to accommodate these.

Common ‘gotcha areas’ include around tenancy movements. Provisional starts and ends for tenancies, can pretty much always be expected to affect voids and debit values and numbers. These can always be isolated and a decision made if these are held back the last few days of the legacy system, and perhaps manually set in the new system we are moving to.

For audit purposes, a full list of all system areas, legacy data source counts/totals and equivalents in the new system, should be created, before making a decision to go-live. If an agreed reconciliation cannot be agreed, I personally would never suggest its right to go live.

Figuring it out, you can expect, will always shake out some legacy data that needs to be data cleansed. That’s always a bit like an archaeological dig, and a subject for a whole future blog. Before you try to go live with a new system, ensure you have taken time to ‘figure it out’.

Well the UK social housing sector is a couple of months on from its Westminster enforced rent cut of minus 1%. That's not the only onslaught however, I don't have to name-check Welfare Reform, Universal Credit and Bedroom Tax, to highlight extra pressures on the sector, from our political masters.

In the last ten months I have seen some mixed reactions to the situation. A number of organisations have turned to HR in order to trim dead wood, sometimes losing valuable staff, leaving with a hefty redundancy wedge, moving swiftly into housing consultancy. In many cases dead wood still remains. The wage bill has been cut, but the consultancy cost centre may be seeing more of a hammering in the future.

Another more pragmatic and refreshing approach I have encountered, methinks may make more of the best staff and improve processes into the bargain. Refreshing systems, getting them to work well together, leveraging omni-channel, eliminate or drastically reduce double-entry and standalone spreadsheets, can do a better job of finding efficiencies.   

I have worked with a number of the latter camp in the last nine months and there is appetite for working smarter. Some move to procure new systems and that age old split between Quality and Price has been heavily discussed. In an OJEU procurement, this needs to be stated up front and organisations, the consequences of these choices. In previous times, I have witnessed ratios of 90% cost vs 10% quality. Not surprisingly, thi scan lead to some very unexpected outcomes.

While a 40/60 or 50/50 split is much more common, in the new world of 'The Cutter', I have had some very interesting discussions around this with clients I have worked with. In relation to increased costs of say £200K over five years vs a far more functional application solution, it does make budget holders wince somewhat. When you explain that could well be the salaries of just two staff salaries of £20k, saved over five years.

As someone said to me lately, I need to see what 'Good looks like', good systems can bring exceptional efficiencies. With IT doing what it does well, good staff can excel at the skills they came into housing to use in the first place. Let's let the (good) systems take the strain. Implement them properly, so we work efficiently, treat tenants and customers well and make our neighbourhoods better places.

So don't cut the quality, think beyond the budget.

The Best of Both Worlds (Clearview or Qlikview)?

You might well ask, "What's the difference?". Reporting presentation or tracking as well?

I have recently been working with a number of organisations, around the subject of housing KPIs. Readers of this blog will know I am a fan of Qlikview (http://tonysmiththathousingitguy.blogspot.co.uk/2012/12/rear-qlikview-mirror.html ) as well as Clearview. If budget allows it would be great to have both. However, budgets may not really run to that.

So what is the difference?

Well Qlikview is a fabulous in memory reporting presentation and drill-down tool, super in its own way. Often sold with five days 'proving' reports, it's an easy sale. Where Clearview cleans up in my opinion is in its KPI tracking capabilities. If you already utilise desktop task-tray workflow, your organisation will, I predict, really take to this tool.

My friends and users in a large repairs team speak in favourable terms of Clearview in its ability to track stats, actions, follow-ups and its transparent views of where the organisation hierarchy is with its improvements. No point having a team labelled 'P&Q', 'Performance and quality', 'Business Improvement' etc, if there's no clear evidence of who or what is being attempted, to be improved.

Even with my simple outlook, it took me about 10 minutes to figure out the Clearview world of monitoring actions, against last month, quarter or years' selected trends. So transparent that your board will take to it like ducks to water.  Attachments, notes and other info can be recorded, so KPI actions are not lost in the ether.

Talking to the chief exec, she liked it too, whether she was looking at Arrears as % of GAD, void days & rent loss, repair no access or percentage of rechargeable repairs completed that could not be recharged. At that organisation, true ODBC is also being started to link KPI dashboards directly with HMS & other system data, enforcing one true version of the truth. Clearview is indeed one application which can provide added control over your stats and unravelled ability to track actions and progress.  

Mark my words, ability to monitor, act on data/information and show what is being initiated to carry out improvements will increasingly be high on the management agenda. Don't get left behind!
